One system, from the menu to the money.
Everything a meals on wheels service runs on, working together and connected to your website.
Your website, connected

- Online ordering on your own website. Customers and families choose meals for the days they want and pay by card at checkout. Orders land straight on the kitchen sheet.
- Hot or chilled, same price. Customers tick a box to have a meal delivered chilled on a plate to heat later.
- Allergens on every dish. Each meal and extra shows what it contains, and the full menu can be searched by category.
- Live menu on your home page. Visitors see what’s cooking for the next few days, updated automatically from your menu.
- Clear cut-off messages. The order page shows the earliest delivery day and lets customers order up to two weeks ahead.
- Bulk and emergency orders. An enquiry page for care homes, schools and lunch clubs.
- Your rotating menu on the website. Plan a 4-week menu once and it shows the right dishes on the right days, with your order cut-off times built in.
- Postcode checker. Visitors enter their postcode first, so only people in your delivery area can apply. Your delivery area is a simple list of postcode districts you can change at any time.
- Waiting list for new areas. Anyone outside your area can leave their details to hear when you launch near them, so you can see where demand is building before you open a new round.
- New customer sign-up. Your website’s application form (address, next of kin, diets, allergies, delivery days, payment choice) creates the customer in Mealround, ready to place on a round.
- One price list. Extras and treats sold on your website appear on ordering links and printed menus, with prices kept in step automatically.
- Customer accounts. Customers can update their details and payment method, and your office is emailed every change. <
- Choose how to pay. First order by card, then Direct Debit, saved card or bank transfer, set up by the customer in their account.
- Welcome emails, branded for you. New customers confirm their email and get a welcome message, and your office is told only once they have. /ul>
For your customers and their families

- A personal ordering link. No passwords or apps. Customers or relatives open the link, choose meals and press send.
- Up to 4 weeks ahead. Swap a meal, add a day, cancel a day, or add a meal for a guest.
- Relatives order from home. The weekly email link can go to a son, daughter or carer, addressed to them. They tick the meals from wherever they live, and the order goes straight into the system.
- Safe choices only. Dishes that clash with a customer’s diet or allergies are never shown.
- Weekly reminder email with their link, so nobody forgets.
- Clear cut-offs. Your order deadlines are built in and shown to the customer.
For your office
- Automatic meal fill. Empty days are filled with a suitable meal, so the next 2 weeks are always covered. “Choose for me” customers are planned 4 weeks ahead.
- Menu scanning from a phone. Drivers and office staff photograph completed paper menus on their phone, with no app to install. Mealround finds the customer from the account number or QR code, reads the meal marked for each day, matches it to your menu and books the week after a quick check by the office. Nothing is retyped.
- Dietary and allergy records for every customer, checked every time a meal is chosen.
- Instant alerts when a customer orders, changes or cancels online.
- Win back past customers. A gentle, carefully worded check-in email to lapsed customers and their families, with a simple “no longer needed” option.
- Dashboard showing new customers waiting, gaps in next week’s orders and how meals were chosen.
For your kitchen
- Production sheets for each day, hot and chilled.
- Meal labels printed in one run, grouped by section with spacing for easy sorting.
- Printed menus with each customer’s account number and QR code, for those who prefer paper.
For your finances

- Weekly invoices raised automatically, in advance or in arrears.
- Automatic weekly cycle. Empty booked days are filled on Sunday, invoices go out on Monday morning, Direct Debits are collected on Monday and saved cards are charged on Tuesday.
- Balances handled for you. Money owed carries forward and credits are taken off before any card is charged.
- Card payments (Stripe) and Direct Debit (GoCardless) collected on schedule.
- Statements and invoice emails sent for you.
- Money at a glance: invoiced, collected by method, money owed, food cost and margin.
